Proper event preparation goes beyond the basic setup of tables and chairs.

It involves the use of a series of material elements that follow specific protocol rules to ensure the solemnity and success of the event.

  • Flags: If the event is official or authorities are attending, official flags must be available. These should never be mixed with unofficial flags (from companies, for example); the official ones should be placed to the right of the president and the unofficial ones to the left.
  • Carpets: These are reserved for large official events and for welcoming very important guests. Their purpose is to cover the floor of the stages or the entrance to the event. They are usually maroon for official events and gold for Papal visits.
  • Music: The musical atmosphere depends on the type of event and the budget.

The most common options are:

  • Orchestras: They are hired for social events with a large number of attendees, since their wide repertoire guarantees success.
  • Quartets: Normally made up of string instruments, they are hired for large events due to the elegance they provide.
  • Disc Jockeys (DJs): They are recommended for all types of events due to their great musical variety. It is a booming business and a safe bet, especially for events with a smaller number of attendees.

Other Material Elements:

  • Platforms: These are used to raise the presidential area if necessary.
  • Lectern: Essential for speeches, it serves as a support for the speaker's notes and must have good lighting.
  • Cords and Fences: These are used to delimit spaces reserved for certain authorities.
  • Screens: These are used to divide the space within a room, either to reduce its apparent size or to hold two events simultaneously.
